Position Overview The School Operations Administrator (SOA) is a critical leadership team member responsible for overseeing and managing non‑instructional functions that support the academic mission of the school. The SOA ensures all systems run efficiently and in compliance with applicable policies, regulations, and school goals. Key Responsibilities Human Resources & Onboarding – Support all school employees with onboarding tasks, maintain employee records, coordinate with HR and Finance to adhere to staffing budgets, train staff on HR platforms, and assist with benefits tasks such as enrollment and 401(k). Payroll & Financial Operations – Audit payroll submissions, generate payroll reports, manage purchase orders and vendor relationships, process invoices and check requests, and maintain financial compliance. Operational Oversight – Manage school facilities, transportation, food service coordination, oversee compliance and licensing requirements, and serve as point of contact for maintenance, IT, and safety service requests. IT & Inventory – Supervise school‑based IT support staff, manage technology requests, maintain inventory of equipment and keys, and coordinate distribution and return of keys and devices. Risk & Compliance – Liaise for student accident and employee workers' compensation claims, enforce safety protocols, collaborate with Facilities and Finance on claims, and partner with Compliance and Grants teams for audits. Grants Administration – Collaborate with Grants Manager to implement and monitor grant timelines and drawdowns, and attend training to remain updated on grant requirements. School Support – Provide logistical coordination for field trips, events, and school activities, track and report operational metrics, and participate in school leadership meetings. Qualifications Bachelor’s degree or higher in Business Administration, Accounting, Finance, or related field. Minimum of 2 years of experience in school operations or business management; education setting preferred. Proficiency with Microsoft Office Suite and other business/HR software platforms. Strong organizational, leadership, and interpersonal communication skills. Ability to maintain confidentiality, solve problems independently, and enforce school‑wide policies. Demonstrated knowledge of bookkeeping, HR processes, and compliance reporting. Physical Requirements The employee is regularly required to communicate effectively; sit, stand, walk, and use hands to handle or feel objects, tools, or controls. The employee is frequently required to reach with hands and arms and occasionally lift and/or move up to 25 pounds. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and instructional materials. Noise level is typically moderate, but can be higher during student‑centered activities or events. Occasional local travel for school‑related functions may be required. FLSA Classification This position is classified as Exempt under the Fair Labor Standards Act (FLSA) and is in accordance with applicable federal and South Carolina labor laws.
