Job Description

We are seeking a detail-oriented and organized Referral Specialist to join our medical office team. This position plays a key role in ensuring patients receive timely and accurate referrals to specialists and external healthcare providers. The ideal candidate has experience in healthcare settings, strong communication skills, and a working knowledge of insurance requirements and medical terminology.

Key Responsibilities:

• Coordinate and process referrals from primary care or specialty providers to external medical specialists, facilities, or diagnostic services
• Verify insurance requirements, obtain prior authorizations, and ensure referrals comply with payer guidelines
• Accurately input referral information into the electronic health record (EHR) and track referral status
• Communicate with patients regarding referral status, appointment scheduling, and any required documentation
• Follow up with external providers to ensure timely receipt of consultation notes and continuity of care
• Work closely with clinical and front-office teams to support overall patient care and office efficiency
• Maintain patient confidentiality and adhere to HIPAA regulations

Qualifications:

• High school diploma or equivalent required; additional medical or administrative training is a plus
• 1–2 years of experience in a medical office, preferably in a referral or patient services role
• Familiarity with EHR systems (e.g., Epic, eClinicalWorks) and insurance verification procedures
• Strong attention to detail and ability to manage multiple tasks and deadlines
• Excellent communication and interpersonal skills
• Knowledge of medical terminology and common referral processes

Preferred Skills:

• Bilingual abilities
• Prior experience working with insurance authorizations
• Understanding of HMO, PPO, and Medicare/Medicaid referral requirements
