Job Description

Description Responsible for ensuring intellectual control, long-term preservation, and public accessibility of archival materials. The Archivist will process, preserve, and catalog archival donations and historical records, update and create finding aids, and support digitization and reference services in compliance with professional archival standards. Responsibilities Review and arrange archival holdings to support intellectual control. Refolder and rebox archival materials according to series-level order. Develop, update, and maintain archival finding aids and metadata. Conduct initial processing of archival donations, including collecting donor information and deeds of gift. Create and manage databases/spreadsheets to track donations, volumes, and processing status. Perform initial conservation measures on paper, photographs, and media (e.g., sleeving, stabilization). Oversee digitization of archival holdings, including Official Military Personnel Files and documents from external institutions (e.g., National Archives). Ensure digital surrogates meet Coast Guard and Armed Forces Public Information Management System (AFPIMS) publication standards. Respond to historical research inquiries using both internal and external sources. Collaborate with museum and curatorial staff for cross-functional requests (e.g., loans, exhibitions). Requirements Master’s degree in Library Science (MLS), Archival Studies, History, or a related field with coursework in archival theory and practice. Minimum of 2 years of professional archival experience in a federal, academic, or cultural institution. Experience arranging, describing, and preserving historical records in multiple formats. Proficiency with archival metadata standards (e.g., DACS, EAD) and finding aid development. Familiarity with digitization protocols and best practices for historical materials. Strong knowledge of archival conservation and preservation practices. Proficiency with archival database software and Microsoft Office Suite. Strong organizational and analytical skills; ability to manage multiple projects. Excellent written and oral communication skills. Physical Requirements Must be able to move from place to place within the location, lifting of items weighing up to (25) pounds and occasional up to 35 pounds such as files, books, stacks of paper, and other materials. Ability to sit for long periods of time and to maintain focus on projects such as computer screens or detailed paperwork.
