Position : Executive Assistant to the EVP, Chief Artistic Officer

Department : Programming

Role Overview : This position will focus on maximizing the day-to-day productivity of the Executive Vice President, Chief Artistic Officer (CAO) and the Programming, Advancement & Innovation, and Education departments. They will report to the CAO and rely on close, effective collaboration with the Chief of Staff to execute their responsibilities. By being at the center of the CAOs departmental oversight, the Executive Assistant to the EVP, CAO will have a birds-eye view of the dynamic operations of one of the worlds leading performing arts centers.

What youll get to do here :

  • Maintain the CAOs calendar through meticulous scheduling of requested appointments utilizing the Microsoft suite
  • Communicate with Programming, Advancement & Innovation, and Education staffs regarding the CAOs calendar for planning and collaboration when necessary
  • Coordinate and confirm all aspects of internal and external meetings, including meeting space / agendas / catering and technical specifications as necessary and using ArtsVision and Tessitura as resources for preparation and planning
  • Coordinate meeting action items and follow up with the CAO and meeting participants
  • Coordinate bi-annual staff retreats, in collaboration with the Programming Chief of Staff and Vice President
  • Write scripts and / or talking points for CAOs presentations, speeches, and hosting responsibilities
  • Prepare regular status reports for the CAO for meetings and agenda items
  • Field internal and external requests for the CAO
  • Manage correspondence on behalf of the CAO
  • Oversee ad hoc special projects from inception through development, to implementation
  • Track departmental expenses and receipts, vacation / sick days, and other logistics for the CAO, utilizing ADP, NetSuite, and Monday

Youll be a fit if you bring :

  • Minimum 3 to 5 years of experience supporting a C-Suite executive
  • Established track record of success within a fast-paced executive office and the ability to seamlessly change course when required
  • Strong emotional intelligence and the ability to leverage relationship management skills to further organizational goals
  • Skilled in giving timely feedback both to colleagues and the CAO about work needs and approaches
  • Ability to work effectively within a team environment and handle various personality types and working styles
  • Strong customer service skills and the ability to make sound judgments about the CAOs priorities and needs
  • Work style that can integrate effectively within a team environment and handle various personality types and working styles
  • Superior interpersonal and written communication skills
  • Experience with industry technology platforms, including NetSuite, Monday, ArtsVision, and Microsoft Suite
  • Availability to work extended hours, including some evenings, as needed
  • Bachelors degree or equivalent combination of education and experience
