Rate: $20-30/hr DOE

Summary:

Seeking a Sr. Document Control Administrator | Document Control Specialist supporting the Midstream Projects Organization by overseeing and managing all project documentation and final turnover files in compliance with internal standards and government regulations. This role is primarily responsible for maintaining an organized, accessible, and secure document management system within SharePoint, serving as the division's SharePoint administrator and expert.

Key duties include conducting documentation audits, training project teams on document control processes, and collaborating closely with Project Management, Information Management, and contractors to ensure timely and accurate delivery of document control requirements. The specialist will also utilize SAP and LiveLink to access archived project data and is instrumental in implementing project closeout procedures.

The ideal candidate is highly organized, detail-oriented, and experienced in managing complex documentation across multiple projects. This role requires strong communication skills, the ability to multitask across a high volume of projects, and extensive SharePoint administration experience.

Duties:

  • Maintain and audit project documentation and final turnover files for the Midstream division per Government and Company standards.
  • Organize and lead trainings on Company documentation processes.
  • Work closely with Project Management and the Information Management group to coordinate with contractor counterpart and internal team to manage document control deliverables.
  • Utilize SAP software to locate and review key project information.
  • Navigate LiveLink to locate and retrieve archived project files.
  • Highly skilled in organization, accuracy, and time management to oversee multiple assignments at the same time.
  • Maintain accurate file structure for the entire Midstream Projects Organization in SharePoint
  • Perform SharePoint Administrative duties for the Midstream Projects Organization, including setting up internal and external sites, granting access rights to stakeholder, and working to ensure information is accessible and accurate.
  • Assist in the implementation of the Midstream Projects closeout procedures and checklist.
  • Function as a SharePoint Expert and provide technical support for document related issues.
  • Creating, maintaining, and implementing document management systems by developing procedures and improving workflows for the Midstream Projects Group.

Requirements:

  • Expert proficiency in SharePoint, specifically as an administrator. This role spends 85% of time in SharePoint.
  • Intermediate proficiency in Microsoft applications, specifically Excel and Outlook.
  • 6 or more years of experience in a business environment related to records management such as record storage, filing and retrieval.
  • 4 or more years working in the energy industry and/or construction
  • Excellent interpersonal, verbal, and written skills. In this role the individual communicates daily with the PMs, puts on trainings, requests for clarifications all via verbal, e-mail, Teams etc. The individual would need to be able to manage all forms of communication, while staying organized.

PLEASE NOTE: This is not a standard Document Control role. This person will be supporting hundreds of projects and dozens of PMs. Therefore, will need to have a proven method in advance on how to stay organized and track their progress.
